Terms & Conditions

CONTRACT
The contract for a short-term holiday rental shall be made between the client and Red Doors Farm Holiday Cottages Limited, the contract will be entered into when Red Doors Holiday Cottages issues the confirmation letter and will be subject to all the following booking conditions.

OCCUPANCY
Rentals commence at 4.00 pm on the day of arrival to 9.30 am on the day of departure.  House keepers have a limited time to prepare the property for the next guests and you are asked to respect this.
Tesco’s, Sainsbury’s & Waitrose all deliver, but please book a delivery slot at least 2 hours after you plan to arrive to allow for unscheduled delays,  as we can’t accept supermarket deliveries on your behalf (guest’s signature required).

PAYMENT
A deposit of 30% of the rental fee is payable if the booking is made more than eight weeks before the start of the rental. The balance shall be payable eight weeks before the commencement of the rental. Non-payment of the balance of the rent on or before the due date shall be construed as a cancellation of the contract by the client. For bookings made less than eight weeks before the start of the rental the total fee is payable on submitting the booking form. Please also refer to Refundable Holding Deposit.

REFUNDABLE SECURITY DEPOSIT
A fully refundable deposit of £100 per cottage will be charged to cover any damage and / or excess cleaning.  This will be payable with the final balance payment.  On the Tuesday after departure, the refundable deposit will be returned and processed via the same method as the original payment was made. When all / part of the security deposit is withheld, a written explanation will be provided via email to the lead name on the booking. Please refer to Care of the Property.

CARE OF THE PROPERTY
The client shall take all reasonable and proper care of the property and its furniture, pictures, WiFi units, fittings and effects in or on the property and leave them in the same state of repair and condition and in the same clean and tidy condition at the end of the rental period as at the beginning. Bed linen should be stripped and all rubbish should be disposed of in the outside bins provided.  Where the cost of the damage and any excess cleaning caused is not covered by the holding deposit, the client is legally bound to reimburse Red Doors Farm Holiday Cottages Limited on demand.

WiFi
Free and unlimited Wifi is provided in our cottages.  There is a designated unit for each cottage.  These units are not to be removed from your cottage.  Any damage to these units will be covered under the refundable security deposit terms, unless a full replacement is required whereby the client is liable for the full costs involved.

GROUP BOOKINGS
We request that no items are transferred between cottages. Each cottage is equipped with the correct equipment for the number of persons in the cottage.  Where this does occur, this will be deemed as additional cleaning and could affect your refundable holding deposit.

NUMBER OF PERSONS USING THE PROPERTY
The number of persons occupying a property must not exceed the maximum number stipulated in the brochure or website.  This includes additional visiting guests to the cottage.  Red Doors Farm Holiday Cottages Limited reserves the right to refuse entry to the entire party if this condition is not observed. Please advise Red Doors Farm of any additional guests that might visit during your stay as we have restricted parking.

USE OF THE FACILITIES
The communal facilities are strictly reserved for the use of clients and the owners of the property.  Any of the on-site facilities may be withdrawn from use in the event of any circumstances which deem the facilities unsafe or present any risk to health and safety. The facilities will be withdrawn in the event of any misuse or failure to comply with rules and procedures.

PROHIBITED
The use of FIREWORKS are prohibited on the grounds of Red Doors Farm due to thatch roofs and farm animals.
Smoking is not permitted in any of the cottages.

PETS
Change in policy - with immediate effect, we no longer accept dogs in any of our cottages.

RED DOORS FARM HOLIDAY COTTAGES LIMITED DUTY OF CARE
All properties are maintained to a very high standard. In the rare event of a breakdown in a particular service or item a repair/replacement shall be found/fitted within 72 hours where possible. Red Doors Farm Holiday Cottages Limited cannot be held liable for any loss arising from loss of use of the service/item within the specified time limit.

RIGHT OF ENTRY
Red Doors Holiday Cottages Limited and/or its agents reserve the right to enter any cottage at any reasonable time for purposes of inspection or to carry out any necessary repairs or maintenance.

RULES AND PROCEDURES
Clients are required to familiarise themselves with and observe the rules and procedures of Red Doors Farm Holiday Cottages Limited contained in the Information Folder provided in each cottage.

RED DOORS HOLIDAY COTTAGES LIMITED RIGHT TO REFUSE
Red Doors Farm Holiday Cottages Limited reserves the right to refuse any booking and in exceptional circumstances, to cancel, modify or alter arrangements made for the client.

CANCELLATION
Any cancellation made by the client for whatever reason shall be in writing and addressed to Gill Hunt at the address at the top of the booking form. On receipt of notice of cancellation, Red Doors Farm Holiday Cottages Limited will seek to re-let the property for the period of booking. If Red Doors Holiday Cottages succeeds in re-letting the property for the whole period it shall refund all the monies paid less an administrative charge of £50 per booking. If Red Doors Holiday Cottages only succeeds in re-letting the property for part of the period booked it shall refund an amount equal to the money paid less (1) the rental for the period that is not re-let and (2) an administrative charge of £50 per booking. If Red Doors Farm Holiday Cottages Limited is unable to re-let the property before the final payment due date, the client still remains liable for the final payment on the due date as indicated in the Payment section above. If Red Doors Holiday Cottages is successful in re-letting the property for the whole or part of the period of booking after the client has made the final payment, the client will be reimbursed in accordance with the refund conditions above. We advise that you take out separate holiday cancellation insurance.
 
COMPLAINTS
If in the opinion of the Hirer there are grounds for complaint, it is the duty of the Hirer to take it up with the Owner immediately or soon as reasonably possible and in any event before departure to allow remedial action to be taken.  It is specifically agreed that failure by the Hirer to notify the Owner of any complaint in accordance with the timescale above will entitle the owner to refuse to entertain the complaint, irrespective of its merit.

PERSONAL INJURY & LOSS OF CLIENT PROPERTY
The client or members of his/her party cannot hold Red Doors Farm Holiday Cottages Limited responsible for injury sustained or the loss or damage to any belongings during their stay at Red Doors Farm Holiday Cottages Limited. Lost Property: There is a minimum of £10 + postage charge to post any items that you have left behind. Please ensure everything is taken home with you.

VAT
VAT is included in the rental fee. If VAT rates change, Red Doors Farm Holiday Cottages Limited reserves the right to amend prices accordingly.

DATA PRIVACY STATEMENT
We treat any data collected during the course of making bookings or dealing with enquiries in strict confidence. Your data will never be sold. As members of Premier Cottages (a marketing collective of the best four and five star cottages in the UK) we have agreed to supply to Premier Cottages Ltd the names, postal and email addresses of all guests booking with us or proposing to book with us during the previous year, in order that these guests/potential guests may be sent a Premier Cottages brochure and sent promotional emails from time to time. By accepting these terms and conditions you are indicating your consent to receiving these communications from us unless you let us know otherwise, which you can do at the point of booking by ticking the Marketing Notes box in the extras section.
